Position Title Administrative Assistant--RPA/UAS

Essential Job Function: Geographic location of assignment is at Indian Springs, NV/Creech AFB in support of Unmanned Aircraft Systems (UAS) Operations PMO program activities. Must be flexible working in and supporting the Creech AFB (Indian Springs, NV) and/or Program Management Office (Las Vegas, NV) office locations every week. Provides administrative support to department members, orders supplies and materials, coordinates service or maintenance requirements. Performs standard secretarial and administrative duties requiring experience, skill and knowledge of organizational policies and practices. Typically provides customer service support to individuals responsible for managing operations or programs under various contracts. Assists management with scheduling appointments, travel arrangements, and processing personnel records in support of company deployment operations. Provides on-site administrative assistance to company personnel.
Prepares, proofreads, and distributes letters, reports, briefings, proposals and other correspondence. Also, prepares special or one-time reports, summaries, analyses, or replies to inquiries under general direction. Prepares and maintains word processing, spreadsheets, data bases, and/or other software files and information. Schedules appointments, makes travel plans, arranges meetings, and prepares required materials. Reviews employee timecards for accuracy and completeness on a daily basis; advises employees when corrections to timecards are required. Reviews and compiles employee expense reports for valid expenses, accuracy, and completeness and submits for payment; advises employees when corrections to expense reports are required. Assists in compilation of data required to generate employee deployment completion payments.
May attend meetings and record and report on proceedings as directed. Organizes and maintains departmental files. Opens, reviews, and distributes incoming mail and correspondence. Prepares and ships outgoing mail. May distribute, tabulate and enter timecards and staff expense reports as directed. Other duties as assigned.
Must hold a HS diploma or equivalent as a minimum. Minimum of 3 years’ experience in professional administrative and/or secretarial day-to-day activities, 5 years preferred. Other suitable work experience may be substituted for administrative experience. Must be proficient in computer operations and programs, with the ability to utilize required software to meet the tasks required. Experience in a military operations environment highly desired.
Demonstrated ability to work effectively in a detailed environment. Able to analyze complex administrative information and work with numbers. Excellent written and verbal communication skills. Must be able to lift 40 pounds (one tote box of hard-copy records).

Must be able to provide proof of US Citizenship upon hire. DoD Secret Security Clearance eligibility is required. Must submit updated SF-86 within 30 days of hire start date. Must be able to gain/maintain the required security clearance level and special access authorization as a condition of continued employment.
Current / Previously held DoD Security Clearance preferred.
An Associate’s Degree or higher in a management related field is preferred.
5 years’ experience in professional administrative and/or secretarial day-to-day activities.
Experience in a military operations environment highly desired.
Prior experience with Defense Contracting preferred.
